Poster Presentation Guidelines

Two poster sessions are scheduled. Poster authors will be in attendance during their Poster Reception to answer questions. Come view the posters, enjoy light refreshments, ask questions, and network with colleagues in your field.

CREATING YOUR POSTER PRESENTATION

Congratulations on being accepted as a poster presenter! The poster session maximizes your opportunity to interact with meeting participants. Please read the following guidelines and information before you begin to create your poster presentation. Give considerable thought to the design and presentation of your poster to make sure that it stands out as an attractive and informative presentation. You want to be certain that the 'reader' of the poster comes away with a clear understanding of your research.

Display Area

  • 45 inches x 45 inches (114 cm x 114 cm). Push pins will be provided to hang your poster.

Format

  • Download poster template (3 size options): 36 x 44 inches, 40 x 44 inches, 44 x 44 inches - NEW (optional)
  • Poster presentations are hard-copy (paper/poster) format only.
  • Posters must fit within the designated display area. 
  • The most successful and attractive posters are graphically produced posters that highlight and summarize the main points, with the poster presenter filling in the details.
  • The entire poster layout should be readable from six to ten feet away.
  • The least effective poster format is a photocopy of the manuscript.

Your poster presentation should include:

  • The paper title and all authors at the top of the poster
  • A brief introduction, goals, experimental detail, conclusions, and references (make sure this information is presented in a logical and clear sequence)
  • Explanations for graphs, pictures, and tables.

Font Sizes (minimum recommendations)

  • Title: 87 point type
  • List of authors: 48 point type
  • Headings: 44 point type
  • Double-spaced text: 32 point type
  • The entire poster layout should be readable from six to ten feet away
  • Be careful in your use of colors, some people are red-green color blind and some colors do not stand out in contrast to others.

QR Codes (optional)

  • Adding a QR code to your poster allows you to add a 3D barcode readable by smartphones
  • The barcode can be designed to link the person viewing your poster to a related video, your website, or your contact information

E-POSTERS

  • An electronic copy of your poster (PDF format) will be published and available to attendees prior to and during the conference on the SPIE Digital Library.
  • Submissions are open for electronic posters through 17 January 2018.
  • This is optional and is intended to provide additional exposure for your work.
  • Authors must still register for the event, present the poster as scheduled, and submit a manuscript to be published in the conference proceedings.

Electronic Poster Submission Instructions:

Option 1: Use the SPIE 44 x 44 poster template

  • Download the SPIE poster template.
  • Update the template with your poster content, including your title and SPIE paper number. A bottom margin of 0.75 inches (1.905 centimeters) needs to be empty with no content.
  • In PowerPoint, confirm that the slide size orientation is set to portrait.
  • Print your file as an Adobe PDF. Choose the option to 'Scale to Fit Paper.'
  • Click on the Printer Properties link and confirm that the page size is letter or A4.
  • Print and save the PDF file.
  • Upload your file to the appropriate conference via the SPIE Submission System here: http://spie.org/e-poster-submissions-mi18. Currently, our submission system will cut off any content within 0.75 inches (1.905 centimeters) of the bottom of the slide upon upload. SPIE is working on adapting to this new process for providing posters to our attendees and we appreciate your patience with us while we make these changes!
  • Enter your student status, title, and paper number in Step 1 of the SPIE submission system.
  • The system will confirm you have successfully completed the Overview tab on a blank Summary tab. To continue, please choose 'Next: Upload.'
  • You do not need to add any of your authors in the submission wizard.

Option 2: Use your own template

    • Update the template with your poster content, including the title and SPIE paper number. A bottom margin of 0.75 inches (1.905 centimeters) needs to be empty with no content.
      • Paper size and Margins
        • If you use a U.S.-standard page (8.5 x 11 in./21.59 x 27.94 cm), set margins to .875 in. (2.22 cm) left and right, 1.0 in. (2.54 cm) top and 1.25 in. (3.17 cm) bottom.
        • If you use an A4 page, set margins to 1.925 cm left and right, 2.54 cm top, and 4.94 cm bottom.
    • Confirm that the file orientation is portrait.
    • Convert to a Word or PDF file.
    • Upload your file to the appropriate conference via the SPIE Submission System here: http://spie.org/e-poster-submissions-mi18. Currently, our submission system will cut off any content within 0.75 inches (1.905 centimeters) of the bottom of the document upon upload. POSTER SESSIONS

Sunday/Monday Poster Session
Includes poster presentations from the conferences on Image Processing; Image Perception, Observer Performance, and Technology Assessment; Biomedical Applications in Molecular, Structural, and Functional Imaging; and Digital Pathology.

AUTHOR SET-UP TIME: Sunday after 12:00 pm (noon)
Posters must be set up by 3:30 pm Monday, and should remain on display until the end of the Poster Reception on Monday. 

POSTER RECEPTION: Monday from 5:30 to 7:00 pm

Tuesday/Wednesday Poster Session
Includes poster presentations from the conferences on Physics of Medical Imaging; Computer-Aided Diagnosis; Image-Guided Procedures, Robotic Interventions, and Modeling; Imaging Informatics for Healthcare, Research, and Application; and Ultrasonic Imaging and Tomography.

AUTHOR SET-UP TIME: Tuesday after 9:30 am
Posters must be set up by 3:30 pm Wednesday, and should remain on display until the end of the Poster Reception on Wednesday.

POSTER RECEPTION: Wednesday from 5:30 to 7:00 pm

POSTER PRESENTERS:
1) Display your poster during both days of your poster session.
2) Attend the Poster Reception to answer questions.
3) Remove your poster at the end of your poster reception. SPIE assumes no responsibility for posters left on the poster boards at the conclusion of each poster reception; unclaimed posters will be considered unwanted and DISCARDED.

Poster Viewing Times: Posters may be viewed after set-up until 9:00 pm on Sunday and Tuesday. The poster area will be closed one hour prior to the poster receptions to prepare the food service.

POSTER PRESENTATION AWARDS

Each conference will recognize one selected poster presentation at the Cum Laude level and one selected poster at the Honorable Mention level for the quality of work presented and for the presentation itself.

Special sponsored poster presentation awards are offered in 2018 for the Physics of Medical Imaging (Vol. 10573) and Image-Guided Procedures, Robotic Interventions, and Modeling (Vol. 10576) conferences.

Award recognition will occur in the conference meeting rooms and personalized certificates will be distributed. During the receptions, award ribbons will indicate the winning posters.

Basis for selection:

  • Work should be of a standard of excellence as judged by the quality and quantity of results presented. It should include results that are both significant and new to the field of study. Conclusions should be well supported by the results, and relevant references should be cited.
  • Presentation should be well organized, clear, and concise. It should be self-contained, giving adequate background, concise results, and relevant references. Graphic design will be considered only to the extent that it contributes to the clarity of presentation.
  • A conference may give preference to first authors who are students or who are within five years of their terminal degrees.
  • Posters not displayed at the suggested set-up times may not be considered for a poster award.
